New Questionnaire Content

We have added new environmental management questions and reassigned questions that previously referenced ‘health, safety and environment’ into separate questions for ‘health & safety’ and ‘environmental management’.

New Contractor Suspension Workflow for Clients! Available April 13, 2016

Effective April 13, clients will have access to automated contractor suspension functionality on the ‘My Contractors’ page. The system can now be configured to perform a daily verification that contractor requirements are maintained, and if they are not, reassign contractors to ‘Not Approved’ or to a new ‘Suspended’ tab. Each template can have its own automatic suspension workflow applied to questionnaire responses, mandatory documents, and completeness targets. Approval change notifications for clients and contractors are also configurable.

This new feature adds another level of due diligence to the CQN Advantage platform and ensures that ‘Approved’ contractors are maintaining the requirements they have been approved for.

The Weighted Category Scorecard has been developed to address the needs of purchasers that require a completely customizable contractor assessment tool.

Clients will see a new Report Center. With its improved design, the Report Centre offers easy navigation through report categories, simple creation of new reports and offers custom reports. New reports include:

The Notification Center has new and upgraded content:

  • NEW! The Contractor Service Changes Report notification will now be sent once a week, which includes the list of contractors that have added or removed services.
  • NEW Opt-In Notification! A contractor’s service change can now trigger an approval status change.
  • Updated! Redesigned email for the Expired Submitted Documents notification.

New Functionality Added to the Mitigation Register

Effective Friday, September 26, we have made a valuable adjustment to the mitigation tool box based on user input. The option to add mitigation actions for blank questionnaire fields that have been configured in the Contractor Assessment Matrix (CAM) can now be included in the Mitigation Register.

Clients will now have the ability to view & track questions unanswered by the contractor that affect the CAM report. Mitigation actions can now be put in place to address these empty questions either internally or with the contractor. This new feature will not only improve the completeness of the contractors’ questionnaire, but also add value to the overall CAM results.

CQNetwork is pleased to announce significant new functionality upgrades to the CQN Advantage contractor management platform.

Effective Friday, September 12, users will have several new features that will improve day-to-day administration of contractor information, and major new mitigation functionality.

    System-generated emails inform users when actions are completed, or when specific progress has been achieved. All notification options are configurable by account administrators, and can be toggled on or off by the user.

We have deployed new functionality this week. New sort functions on the My Contractors lists make it easier to organize your lists and navigate more quickly. Power user tutorial videos have been added to the Help > Resources tab. For administrators there is also a report function to keep track of tutorial attendees. There will be more videos added over the next few weeks. For contractors, the new questionnaire completeness summary shows at a glance any questions that have not been completed. The application and the user experience continues to improve with input from both contractors and purchasers.

Contractor Prequalification: Top 5 Purchaser Behaviors to Avoid

Contractor prequalification can be time consuming and administratively daunting for both purchasers and contractors. By avoiding or reducing the common behaviors below you may improve your business processes and your bottom line.

1Avoid using an information questionnaire that is not fit‐for‐purpose for the contractor or service category. A long and detailed questionnaire may be required when you have a short list of qualified bidders for complex work scopes but simplicity rules the majority of the time at the prequalification stage. Roofing contractors shouldn’t be expected to know how to pour concrete.

2Don’t force your contractors to make things up to meet random prequalification requirements. A system that requires contractors to create (or obtain) safety procedures for services they don’t provide is just bad business. There are no contractors that provide all services ‐ stop treating them like you think they should. Stick to what you know, and what your contractor knows, about the services they provide. Avoid recreating safety legislation in your own, or worse your data manager’s, image. Safety legislation is owned by the state for the benefit of workers and employers.

3Contractors forced to cut and paste legislation into company manuals are not magically imbued with more safety knowledge by using their word processing skills. If you are having contractors sign‐off on your corporate safety standards you would be better off making sure your standards meet legislation not the other way around.

4If your organization uses an electronic database, either home grown or third‐party, use it to reduce duplication by serving as the sole source of contractor data to the degree possible. If your procurement, safety and project management people insist that the contractor send the same prequalification information to them individually that has already posted to a database you are doing it wrong. By not monitoring your people, and their database usage, purchasing organizations add even more administrative work to an already top heavy process.

5Avoid ambiguous and frequently changing approval criteria. Your approval criteria should be easy to explain and be appropriate for contractor category you are assessing. Frequently changing criteria means frequently frayed nerves both for internal clients (i.e. project management) and your contractor base. None of us likes going through an approval process in the first place but professional contractors will respond positively if the requirements are reasonable and transparent. Ask yourself: how many prequalification hills are there actually worth dying on anyway. After all, it’s ‘prequalification’ not RFP assessment.

New / Upgraded Functionality – Website Maintenance

The CQN Advantage website will undergo routine maintenance on Saturday, April 12, 2014. The website will be fully functional during the maintenance period.

We will also be rolling out improved document verification (DVS) functionality for those Purchasing Organizations that have purchased it. DVS will now provide upgraded visual confirmation of document verification including date / time / user stamp of all dated documents. Users will also see a list of specific data points for each document included in the service. Documents that do not meet all of the specified data points will be identified to the contractor with indication where the document is deficient.

Also included in this document management package upgrade is the ability to assign expiry dates and track documents that do not include an expiry date as issued. This feature will allow expanded capability to track and control documents like WCB release letters, premium rate statements and essential safety, operations, or human relations policies.
